CIP Conversion Dropdown Not Showing Assets in Asset Addition Form

How to identify and resolve the two most common causes of a blank CIP Conversion dropdown

If the CIP Conversion dropdown in the Asset Addition Form is blank, even though CIP assets are visible in the Asset List, there are two common root causes to check.

Both issues can independently prevent assets from appearing in the dropdown, and in some cases both may be present at the same time.

This article explains:

  • how to identify each root cause,
  • who is responsible for the fix,
  • and how to confirm the issue is resolved before asking the client to test again.

Symptoms

Clients usually report one or more of the following:

  • “The CIP Conversion dropdown in the Asset Addition Form is empty.”
  • “I can see our CIP assets in the Asset List, but they don’t show up in the CIP Conversion dropdown.”
  • “We’re trying to convert a CIP asset, but nothing appears in the dropdown.”
  • “Why aren’t our CIP assets available for conversion?”

Why this happens

The CIP Conversion dropdown applies two filters before displaying assets.

For an asset to appear, both conditions must be true:

  1. Available Cost must be greater than $0.00
  2. The asset type must be flagged as Construction in Progress

If either condition is not met, the asset will not appear in the dropdown.

Root cause What the system checks Result if not met
Available Cost = $0.00 The dropdown excludes CIP assets with Available Cost of $0.00, even if Acquired Cost is populated Asset does not appear in the dropdown

Note: Either issue alone can cause the dropdown to appear empty.

How to investigate

Step 1: Confirm the asset exists and is active

  1. Navigate to Capital Assets → Asset List.
  2. Search for the CIP asset(s) the client is trying to convert.
  3. Confirm the asset:
    • exists,
    • is active,
    • and is not fully depreciated.

If the asset does not exist at all, this is a different issue and the asset may need to be created or imported first.

Step 2: Check Available Cost vs. Acquired Cost

  1. Open the asset record.
  2. Locate the Available Cost and Acquired Cost fields.
  3. Compare the values.

What confirms Root Cause 1

  • Available Cost = $0.00
  • Acquired Cost has a value

This usually means the importer populated Acquired Cost but did not also populate Available Cost.

Resolution

This is an engineering fix. Support and the client cannot correct this directly.

Engineering must run a backfill to set:

Available Cost = Acquired Cost

for all affected CIP assets.

Step 3: Check the asset type configuration

  1. Note the asset type assigned to the CIP asset (for example, CIP-10).
  2. Navigate to Capital Assets → Data Management → Asset Types Management.
  3. Search for and open the asset type.
  4. Check whether Construction in Progress is enabled.

What confirms Root Cause 2

  • The Construction in Progress field is unchecked, disabled, or set to No

Resolution

This is a client-side fix. The client can update this setting directly.

Step 4: Verify both issues are resolved before testing

Before asking the client to test again:

  • If Available Cost was the problem, wait for engineering to confirm the backfill is complete.
  • If the Construction in Progress flag was the problem, confirm the client has saved the asset type update.

Only after both applicable fixes are complete should the client:

  1. refresh the Asset Addition Form,
  2. reopen the CIP Conversion dropdown,
  3. and confirm the expected assets now appear.

Tip: Differences in GL mapping may look suspicious, but they are typically not related to this dropdown behavior. Check Available Cost and the Construction in Progress flag first.

Fix 1: Available Cost backfill (engineering required)

If Available Cost = $0.00 on affected CIP assets, this requires a backend correction.

Engineering action required

  • Run a one-time backfill to set Available Cost = Acquired Cost for all CIP assets where Available Cost = $0.00.
  • Apply the fix in all affected client environments, such as production and staging/SA if applicable.
  • Log or link the importer bug so future imports populate Available Cost automatically.
  • Notify support once the backfill is complete so the client can be asked to retest.

Note: Until the importer issue is permanently fixed, imported CIP assets may continue to be affected. Check Available Cost proactively when this issue is reported.

Fix 2: Enable the Construction in Progress flag (client action)

If the asset type is not flagged as Construction in Progress, the client can correct it directly.

Steps for the client

  1. Go to Capital Assets → Data Management → Asset Types Management.
  2. Search for the affected asset type (for example, CIP-10).
  3. Open the asset type record.
  4. Locate the Construction in Progress field.
  5. Change it to Yes or enable the checkbox.
  6. Click Save.
  7. Return to the Asset Addition Form and test the CIP Conversion dropdown again.

If the asset still does not appear after saving, check Available Cost and escalate if needed.

Real-world example

A client reported that the CIP Conversion dropdown in the Asset Addition Form was completely empty, even though CIP assets were visible in the Asset List.

Investigation found two issues at the same time:

  1. the importer had not populated Available Cost, leaving it at $0.00
  2. the CIP-10 asset type was not flagged as Construction in Progress

After both issues were addressed, the assets became available in the dropdown.

  1. Navigate to Capital Assets → Data Management → Asset Types Management
  2. Open the [Asset Type Name] record
  3. Enable the Construction in Progress checkbox
  4. Click Save

Once all applicable fixes are in place, please refresh the Asset Addition Form and test the CIP Conversion dropdown again. Your assets should now appear.
