Customer Profile Delivery Preferences for Invoices and Receipts
Learn how to manage invoice and receipt delivery preferences in customer profiles, imports, and templates in Aclarian.
Aclarian allows each customer profile to store delivery preferences for both invoices and receipts. These settings help support more tailored billing and communication workflows.
Delivery preferences are available in:
- Customer Profile
- Customer Import
- Customer Import Template
These preferences can be used to define how invoices and receipts should be delivered for each customer.

Delivery preference fields
Two delivery preference fields are available on customer records.
Invoice Delivery Preference
This field controls how invoices should be delivered to the customer.
Available options:
- Email Only
- Physical Copy Only
- Both

Receipt Delivery Preference
This field controls how receipts should be delivered to the customer.
Available options:
- Email Only
- Physical Copy Only
- Both

Validation rules
The system applies validation rules in the user interface, imports, and import template.
When email is required
If the selected preference includes email, a valid email address is required.
This applies when the preference is:
- Email Only
- Both

When email is optional
If the selected preference is Physical Copy Only, an email address is optional.

- The Customer Profile user interface
- Customer imports
- The Customer Import Template

International address handling
When a customer is marked as having an international address, the State/Province field is not required.
This behavior is consistent across:
- Customer Profile
- Customer Import
- Customer Import Template

International address handling applies only to address requirements.Delivery preference validation still applies based on the selected invoice or receipt preference.
Import behavior and templates
The delivery preference fields are included in both the import process and the import template.
This allows teams to:
- Add delivery preferences during customer imports
- Update customer preferences in bulk
- Use consistent field values during data migration or maintenance
If imported data does not meet the required validation rules, the system displays validation messages to guide the user.
Existing customer records
Existing customer records remain unchanged.
If no delivery preference was previously set, the system applies the default behavior already in place for those records.
Note
No immediate action is required for existing customers unless you want to begin updating preferences for future billing workflows.
Current behavior
The delivery preference fields are visible to users who manage or view customer profiles or perform customer imports.
These settings are available now and can be updated as needed.
Validation messages help prevent incomplete or invalid delivery setups, especially when email based delivery is selected without a valid email address.
