Disposed Asset Not Available for Editing in Aclarian
How to confirm whether an asset is inactive due to disposal and how to advise the client on next steps
If a client says they cannot find an asset in Aclarian to edit, one common cause is that the asset has already been disposed and is therefore inactive. In this state, the system no longer allows edits to the asset or its disposal details in order to preserve the audit trail and maintain record accuracy.
This article explains how to identify that scenario, how to respond to the client, and what actions are still allowed after disposal.
Symptoms
Clients experiencing this issue may say things like:
- “I can’t find asset number [asset number] in Aclarian to edit.”
- “Can you locate this asset for me?”
- “Why can’t I edit this asset?”
- “Is it possible to edit it with a comment?”
What causes this issue
If an asset has been marked as disposed, it becomes inactive in the Capital Asset module. Once inactive, the system does not allow users to edit the asset record or its disposal details.
This behavior is expected and is intended to preserve the audit trail and keep asset records accurate.
How to investigate
Step 1: Locate the asset
- Search for the asset number provided by the client.
- Open the asset record if it is found.
- Review the asset status and confirm whether the asset has been marked as disposed.
If the asset is found but shows as disposed/inactive, this confirms why the client cannot edit it.
Step 2: Confirm whether the asset is inactive due to disposal
Review the asset details and verify whether:
- the asset is marked as disposed
- the record is inactive
- the client is specifically attempting to edit the asset or its disposal details
If those conditions are true, the issue is not that the asset is missing. The issue is that the asset is no longer editable because of its disposed status.
Step 3: Clarify whether the client only needs to add a comment
If the client asks whether they can still update the asset in some way, clarify whether they are trying to add a comment rather than edit the asset record itself.
Disposed assets cannot be edited, but comments can still be added to the asset record.
Resolution
If the asset has been disposed and is inactive:
- the asset cannot be edited
- the disposal details cannot be changed
- the client can still add comments to the asset record
This is the expected system behavior and does not indicate a bug based on the case details reviewed.
What the client can still do
Add a comment to the asset
If the client only needs to leave a note or explanation, they can still add a comment after disposal by:
- opening the asset record
- scrolling to the comments section
- adding their note there
If a comment has already been added, confirm that with the client and make sure it addresses their need.
Support guidance
When handling this issue:
- first confirm the asset exists
- then confirm whether it is disposed and inactive
- explain that disposed assets are not editable because the system preserves the audit trail
- if appropriate, direct the client to the comments section as the available alternative
Do not treat this as a missing-asset issue if the asset is present but inactive due to disposal.
Real-world example
A client asked support to locate asset number 15305, saying they could not find it in Aclarian to edit. Support reviewed the asset and confirmed it had been disposed and was therefore inactive, which is why it was not available for editing. The client then asked whether it could still be edited with a comment, and support clarified that while the asset itself could not be edited, comments could still be added to the record. The client confirmed that resolved the issue.
