Effective Dates and Default Posting Rules

Understand how Aclarian uses effective dates, fiscal months, and default posting dates across forms.

Overview

Some Aclarian forms include one or more effective dates that control transaction timing and General Ledger posting.

This article explains how effective dates work and how the system selects a default date when one is not entered.

Effective date fields

Some forms may include one or more effective dates.

  • Transaction Effective Date

    • The Transaction Effective Date reflects the date the goods or services were provided.

  • Cash Posting Effective Date

    • The Cash Posting Effective Date reflects the date the payment is posted to the General Ledger, if that date is different from the form completion date.

How effective dates work

Effective dates help determine when a transaction is recorded and when it posts to the General Ledger.

Depending on the form, one or more effective date fields may be available.

Review these fields carefully before submitting the form.

Default date behavior

If a Transaction Effective Date is not selected, Aclarian applies a default date based on the fiscal month selected.

  • If a previous fiscal month is selected, the system defaults to the last day of that month.
  • If a future fiscal month is selected, the system defaults to the first day of that month.
  • If the current fiscal month is selected, the system defaults to the form completion date for General Ledger posting.

If a Cash Posting Effective Date is not selected, the system defaults to the form completion date for General Ledger posting.

Why this matters

The effective date used by the form affects when the transaction is posted in the General Ledger.

If no date is entered, the default system logic determines the posting date based on the fiscal year and fiscal month selected. If the fiscal year and month fields aren't available to choose from, then the system assigns a default date based on form completion. 

This can affect fiscal period reporting and transaction timing.

Review the effective date before submitting a form, especially when posting to a previous or future fiscal month.
