How to Enter a Budget Amendment That Includes Both Revenue and Expense Accounts
Learn why your Budget Amendment may not be balancing and how to enter it correctly
You are entering a Budget Amendment. You increased an expense account and decreased a revenue account by the same amount. You expect the net to be zero. But the system is showing double the amount instead.
This is not a bug. The entries need to be formatted differently when you are mixing revenue and expense accounts.
Why Is This Happening?
It depends on the account types you are working with.
Same account type (expense to expense, or revenue to revenue):
Use positive and negative values to show increases and decreases. They will offset each other.
Different account types (expense and revenue):
Both entries should be entered as positive values. They will still balance.
Here is why. On the balance sheet, revenue accounts carry a negative value by nature. This means:
- An increase to revenue makes it less negative
- An increase to expense makes it more positive
Because of this, you do not use a negative value to offset across account types. Both sides should be positive to balance correctly.
How to Enter It Correctly
Incorrect entry (what causes the doubling issue):

Correct entry:

Both values should be positive when one account is revenue and the other is expense.
