How to Remove or Change the Retainage Percentage on a Construction PO

Learn why retainage cannot be changed on the Invoice Approval Form and how to update it correctly

You are processing an Invoice Approval with PO and want to remove or change the retainage percentage. But you cannot find a way to edit it on the invoice form.

This is expected. Retainage is not set on the invoice. It is set on the original Purchase Order.

How to Update the Retainage Percentage

The steps depend on the current status of your PO.

If the PO Is Still in Draft

  1. Open the Purchase Requisition form
  2. Find the retainage field
  3. Update the percentage. To remove retainage entirely, set it to 0 percent.
  4. Save the form

Once saved, any invoice processed against that PO will use the updated retainage percentage.

If the PO Is Already Approved

You cannot edit an approved PO directly. You will need to submit a Change Order to update the retainage.

  1. Create a Change Order for the approved PO
  2. Update the retainage percentage in the Change Order. To remove retainage, set it to 0 percent.
  3. Submit the Change Order for approval
  4. Once approved, any new invoice processed against that PO will reflect the updated retainage

What Happens After the Update

Once the retainage is set to 0 percent and saved or approved, new invoices processed against that PO will not withhold any retainage. Previously processed invoices are not affected.
