Invoice Adjustment Form

 

We're excited to announce a new enhancement that gives you greater control over your billing and accounts receivable processes, the Invoice Adjustment Form.

What's New

You can now adjust late fee line items directly from the Invoice Adjustment Form (Billing & A/R → Forms → Invoice Adjustment Form). Previously, late fees were system generated and appeared as read-only lines on invoices, requiring backend intervention to make changes. With this update, authorized users can reduce, waive, or correct late fee charges on their own, no support request needed.

Key Capabilities:

  • Reduce or waive late fees: Adjust a late fee amount (e.g., reduce from $25.00 to $0.00) directly within the Invoice Adjustment Form
  • Real-time balance updates: The invoice total recalculates automatically when a late fee is adjusted
  • Full audit trail: Every late fee adjustment is logged and viewable under the Adjustments dropdown on the invoice, including user, date, and details
  • Built-in safeguards: The system prevents adjustments on fully paid or closed invoices and blocks invalid entries (negative or non-numeric values)
  • Approval workflow support: If your organization has an approval workflow configured for invoice adjustments, late fee adjustments will route through that same workflow before being applied

How to Use It

  • Navigate to Billing & A/R → Forms → Invoice Adjustment Form
  •  Select an invoice that contains a late fee line item 

  •  Edit the late fee amount as needed (reduce or set to $0.00 to waive) 

  •  Submit the adjustment and “Regenerate Original Invoice” so the updated balance will reflect on the invoice immediately (or after approval, if a workflow is configured) 

  •  Review the adjustment history under the invoice items on the invoice 

Important Notes

  • This enhancement to "Invoice Adjustment Form" within the Billing & A/R module, is now available in Production to all clients. If your organization already has this form enabled, no additional setup is needed for the enhancement to function.
  • Adjustments cannot be made to invoices that have already been fully paid or closed.
  • All adjustments are recorded for compliance and auditing purposes and will be reflected in your A/R reports.
