New Form Action Menus in Purchasing and Payments

Learn how the new Form Action Menus help users access common and form-specific actions more efficiently across eligible Purchasing and Payments forms.

Overview

Aclarian has introduced Form Action Menus across key forms in the Purchasing and Payments modules, with plans to expand this enhancement to additional modules over time.

This update is designed to streamline form-based work by bringing common actions and form-specific actions into one centralized, expandable menu.

Quick links

What is new

The Form Action Menu is now live on eligible forms, including forms such as Purchase Requisition.

The menu is designed to give users faster access to the actions they use most often without requiring them to leave the current form view.

This helps reduce extra clicks and makes it easier to move between related tasks.

Where the Form Action Menu is available

The Form Action Menu is available on eligible forms in the Purchasing and Payments modules.

The enhancement is now live across key forms in those modules, and additional rollout to other modules is planned.

Note: The menu is only visible when the form is not being edited or created.

Common actions in the menu

On supported forms, the Form Action Menu allows users to complete common actions directly from the current form view.

Available actions include:

  • Start New Form – create a new form without leaving the current page
  • Watch Form – receive updates as the form moves through workflow
  • Print Form – print the current form with one click
  • View Workflow Configuration – open workflow configuration for quick visibility into approvals

These options are intended to make routine form actions easier to access from one location.

Payment-producing form actions

For payment-producing forms, such as Check Request and Invoice Approval with PO, the menu includes a Form Options section with additional actions.

These may include:

  • Process Payment – route directly to the appropriate batch page, such as check or ACH
  • Download Check – retrieve the check once it is available
  • Void Payment – open the related form with prefilled fields
  • Reissue Payment – open the related form with prefilled fields for faster processing

These actions are designed to support payment workflows more efficiently and reduce the need to navigate across multiple pages.

Built-in validation and availability

Each action in the Form Action Menu includes built-in validation.

This means options such as Download Check or Process Payment are only available when the form’s current status allows that action.

This helps:

  • reduce errors
  • prevent actions from being used too early or in the wrong status
  • provide clearer, context-aware guidance to users

Why this update matters

This enhancement helps centralize important actions into a single menu, which can improve efficiency for users working with high-volume forms.

Key benefits include:

  • easier access to common actions
  • quicker navigation to payment and workflow tasks
  • fewer unnecessary clicks
  • clearer action availability based on form status

This supports a more streamlined and consistent user experience across Purchasing and Payments forms.

What is next

Aclarian is actively working to expand the Form Action Menu to additional forms across other modules.

As new forms are added, this enhancement will continue to improve consistency and efficiency across the system.

If there are specific actions or menu options your organization would like to see in the future, client feedback helps guide future improvements.

Important note

The Form Action Menu is only visible when a user is not editing or creating a form.

This helps maintain a cleaner and more focused experience during form entry.

Summary

The new Form Action Menu gives users a more efficient way to work with eligible forms in Purchasing and Payments.

With one expandable menu, users can access:

  • common form actions
  • workflow visibility
  • payment-related options
  • status-aware actions that are only shown when available

This update is designed to simplify navigation, reduce friction, and improve day-to-day form processing.
