P Card Integration Configuration Enhancements

We're excited to announce an upcoming enhancement to simplify how you manage and configure your P Card integration. Here's a summary of what's changing and what you can expect.

📌 Page Rename

The page previously titled Card Number Mapping Management has been renamed to P Card Integration Configuration to better reflect its expanded purpose. All existing functionality remains intact this is simply a name change with added capabilities.

🆕 What's New

1. Cardholder Name Support

    • A new Cardholder Name column has been added to the card number mapping table.
    • The import template now includes a Cardholder Name field, so you can include cardholder names when uploading your mapping data.
    • When P Card forms are generated from imported records, the Cardholder Name will be automatically populated, saving you manual data entry.

2. Processing Frequency Configuration


You can now configure how often your P Card transactions are processed directly from the configuration page:

    • Weekly — Select this for weekly processing. No additional fields are required.
    • Monthly — Select this to define your statement period settings:
      • P Card Statement Period Start Day
      • P Card Statement Period End Day
      • P Card Due Day of Month

    3. P Card User Notification Setup


    You can now designate one or more P Card Users from a dropdown to receive email notifications if any P Card imports fail due to errors or unmapped card numbers. Please note: this setting is for import error notifications only and is not related to P Card review or approval workflows.

    4. Default Pooled Cash – Cash in Bank Account


    A new Default Pooled Cash – Cash in Bank dropdown has been added to the configuration page. Once set, all P Card forms for that vendor will automatically default to the selected pooled cash account, reducing manual selection and ensuring consistency across your transactions.

    ✅ What Stays the Same

      • All existing card number mapping data is preserved and pre-populated, no data will be lost.
      • Current P Card imports will continue to process without interruption.
      • Your existing integration workflow remains fully functional.



    Important Highlights

      • No action is required on your end. Your existing configuration will carry over seamlessly.
      • We recommend reviewing the new configuration options to take advantage of the added features, particularly the Processing Frequency, P Card User notifications, and Default Pooled Cash account settings.

    Note:

    This functionality is only available for clients that have the P-card integration enabled.
