Why a Transaction Posted Directly to an Asset GL Account Does Not Appear in the Capital Assets Module

You may notice that a transaction does not appear in the Capital Assets module. This can happen even when the transaction was posted to an asset account, such as equipment, furniture, or buildings.

This is a common issue. It does not mean something is broken. It means the transaction may have been posted to the wrong account type.

This article explains why and what to do next.


What Is a Capital Outlay Account?

Think of a capital outlay account as a doorway. Every transaction must pass through this doorway to enter the Capital Assets module.

A capital outlay account is a special account used to record the purchase of long-term assets. Examples include equipment, vehicles, and buildings.

If a transaction skips this doorway and goes directly to an asset account, the system does not recognize it as a new asset. It will not appear in the Capital Assets module.


Why This Happens

This is common with data transferred from a legacy system. The transactions may already sit in equipment or buildings accounts. But they were never routed through a capital outlay account.

The Capital Assets module only picks up transactions that passed through capital outlay. If that step was skipped, the module will not show those transactions.


Will an Asset Addition Form Fix It?

Not on its own.

An Asset Addition Form helps add assets to the Capital Assets module. But it cannot change how the original transaction was recorded.

If the original posting never hit a capital outlay account, the form alone will not fix the problem.


How to Fix It

The correct fix is a journal entry. A journal entry is a manual correction that adjusts how a transaction was recorded.

Here is what to do:

  1. Check how the original transaction was posted
  2. Ask your finance or accounting contact to review it
  3. If it was not posted to a capital outlay account, a journal entry will be needed
  4. Once the journal entry is complete, the transaction will appear in the Capital Assets module

Do not make changes without confirming with your finance or accounting team first.
